What dental software is, and what it should include

Dental software is a management system for clinics and private dental offices that brings together the calendar, the digital medical history, the odontogram, treatment plans, the cash box and patient communication. What separates a good one from a mediocre one is not the number of screens: it is whether all those pieces share the same patient data.

A small office can start with a calendar and a medical history, but as soon as there are two or three clinicians you start needing treatment plans in instalments, health insurers, per-dentist fees and e-invoicing. It pays to pick a system that already covers them from the start, even if you do not use them in the first month, and to ask which ones come with the plan and which are add-ons.

ALL IN ONE software vs five separate tools

The most common alternative to dental software is not other software: it is a calendar (on paper or in Google Calendar), an Excel sheet for the cash box, the receptionist's personal WhatsApp, folders of photos and X-rays, and a separate invoicing tool. It works until it does not: the patient cancels on WhatsApp and nobody frees the slot, the treatment plan goes missing, the debt never adds up.

An ALL IN ONE system like OCLÜ sorts that out with a single record per patient: the appointment is created on the record, the clinical note stays on that same record, the treatment plan is born from the odontogram and the payment is applied to the plan. With the invoicing add-on, the invoice is issued from the same system and can be built from the treatment plan. Five separate tools force you to copy data between them; one system does not. The honest downside: you have to learn a new system and migrate your data. That is why it matters that the vendor offers assisted migration and a free trial before you decide.

Questions to ask the vendor

Before signing up, it is worth asking: are the calendar, the medical history and the cash box integrated, or separate modules? How do patients, histories, treatments and photos get migrated from the current system? Is there an official app for iOS and Android? Is support handled by people, and over which channel? Does it comply with e-invoicing and digital prescriptions in my country?

In Argentina that means e-invoicing through AFIP/ARCA and digital prescriptions issued through an e-prescription platform. In Spain, invoices numbered consecutively by series along with credit notes, and private prescriptions on the professional body's prescription book (SREP). Software that ignores local rules will force you to use another tool to invoice or to prescribe, and that is where the ALL IN ONE falls apart.

How to compare prices without surprises

There are three pricing models out there: per feature (you pay for each module separately), per appointment or per patient (the cost grows with your activity) and per clinic size (a fixed price based on clinicians with a calendar). The third is the most predictable: you know what you will pay each month no matter how many appointments you see.

OCLÜ uses the size model: CORE for up to 3 clinicians with a calendar, STUDIO up to 6, SIGNATURE up to 9, and CUSTOM tailored for more clinicians or several locations, all with the same core features included and add-ons separate, with no per-appointment fee and 10% off on the annual plan. Whichever vendor you pick, ask them to confirm in writing what is included and what is an add-on.
