Supply stock: so you do not run out of anaesthetic at 9am on Monday

You know how much of each supply is left and what is about to expire, before it runs out. Stock in the OCLÜ dental software records batches and expiry dates, incoming by supplier and outgoing by use, and flags the supplies that hit their minimum level.

What eats your time today in stock

Expired stock in the drawer

The anaesthetic expired two months ago and nobody noticed until they opened the box.

Out of supplies on a Friday

The composite ran out and the order to the supplier goes out on Monday.

Purchases with no history

What was bought and from whom lives in scattered emails.

What Stock gives you in OCLÜ

What is left of each supply

How much there is of each supply, with the ones at or below the minimum flagged in red.

Batches and expiry dates

Every entry is recorded with its batch and its expiry date.

In and out

You record every incoming with supplier, batch, expiry date and cost, and every outgoing by use, with a barcode reader too.

Suppliers

You add suppliers with their contact details; every goods-in is linked to its supplier.

Safety stock

You set per supply the minimum amount you want to keep; when it drops below that, it appears in the restock warning.

How Stock works, in three steps

  1. You add the supplies

Each product with category, brand, barcode, cost and minimum stock, or imported from Excel.

  2. You record movements

Incoming by batch with expiry date, and outgoing by use.

  3. You order in time

When a supply hits its minimum you see it flagged in the warning, and when the goods arrive you record the incoming.

Frequently asked questions about stock

How do you control stock in a dental office?

By recording each supply with batch and expiry date, every movement in and out, and a minimum stock per product. In OCLÜ the inventory is part of the same system as the calendar and the cash box, so it is run without separate spreadsheets.

How do I know which supplies to reorder?

You set a minimum stock per supply. When the quantity reaches that number or drops below it, the supply is flagged in red and appears in the warning for items needing attention.

Can several suppliers be handled?

Yes. Each supplier is added with their contact details, and every goods-in is recorded with its supplier, batch, expiry date and cost.

Are expiry dates visible?

Yes. Each batch has its expiry date and the inventory shows which batches are about to expire, so you use them first or write them off.
