Calling to confirm
Reception spends the morning calling patients to confirm the next day's appointments.
Asking for appointment confirmations, changing their status according to the patient's reply, expiring treatment plans and flagging pending lab work when the appointment is close: OCLÜ does it on its own at each location, once you have set it up.

The list piles up with months-old plans nobody approved or rejected.
The patient comes tomorrow, the lab work is still pending, and nobody noticed.
The email reminder carries a link to confirm or cancel. You choose whether it goes out 1, 2 or 3 days ahead, and for which appointment statuses.
You define which status the appointment moves to if the patient confirms and which if they cancel, and the calendar updates itself.
You mark which times, in the location's local time, the system looks for appointments to warn about. Each appointment gets one reminder only.
When someone at the clinic moves an appointment, it moves to the status you choose — pending confirmation, for instance — to ask the patient again.
Every new plan takes an expiry date based on the number of days you set. If it reaches that date still pending, it moves to expired.
If the patient has an appointment within the window you choose and their work is still in a pending status, the lab request is flagged in red.
If the clinic has several locations, each one keeps its own setup.
Notice period, statuses, times and deadlines, from a window per automation.
The row turns Active and the task runs without anyone having to remember.
Appointment confirmation requests by link, a status change on rescheduling, treatment plan expiry, and an alert for lab work with an appointment close. With the WhatsApp add-on you also get the WhatsApp reminder with buttons, and if you have Online Booking you configure it from here too.
Almost always because the two reply statuses are missing: which status the appointment moves to if the patient confirms and which if they cancel. Without those two the automation does not start, and the screen tells you so.
At the times each location marks, in its local time. If you mark none, the suggested ones are used: 7, 10, 15, 18 and 21h. Marking more times does not send more messages, it only makes the notice go out earlier.
No. With the WhatsApp add-on active, the confirmation request goes out over WhatsApp and the email stays as a fallback: it is only sent if WhatsApp fails, for instance if the patient has no phone number on file.
