Appointments requested at night
The patient writes at 11pm and only gets an answer the next day, by which time they have booked somewhere else.
Add-on: contracted separately, on top of any plan
The patient books their own appointment at any hour: they open your location's link, choose clinician, day and a free slot, verify a 6-digit code, and the appointment lands in your calendar, either confirmed or waiting for your approval. This is the online appointments add-on in the OCLÜ dental software.
The patient writes at 11pm and only gets an answer the next day, by which time they have booked somewhere else.
A good part of the morning goes on offering and shuffling times by phone and over WhatsApp.
A standalone form brings in made-up names and appointments nobody is going to turn up for.
You create as many links as you need per location, with all the clinicians or just some, and with an operatory if you want. One for the website and one per clinician, say. Each link can be paused whenever you like.
The patient sees the slots available according to each clinician's calendar, their lunch, their holidays and the appointments already booked. They never see other patients' data.
Each clinician has their own online appointment length, in 5-minute steps.
The appointment goes straight into the calendar with the status you choose, or sits as a request you approve or reject from the calendar. While you decide, that slot is not offered to anyone else.
Before booking, the patient enters a 6-digit code sent by email or, if you enable it, over WhatsApp. The WhatsApp code goes out from OCLÜ's own line, so you do not need the WhatsApp add-on.
Minimum notice, how many days ahead people can book, no appointments on public holidays, a cap on future appointments per person, and daily caps on bookings and on new patients.
You choose which clinicians can be booked online, how long their appointments are, how much notice is needed, and whether bookings are confirmed or need approval.
You copy it with the suggested WhatsApp message, add it to your website, or print the QR-code poster for reception.
They pick clinician, day and time, enter their details and verify the code. The appointment appears in your calendar, the clinician gets a bell notification, and the patient gets a link to cancel if they cannot make it.
No, Online Booking is an add-on contracted separately on top of any OCLÜ plan. If you cancel it, the links stop accepting bookings and your setup is kept for whenever you switch it back on.
Because before booking they have to enter a 6-digit code sent by email or WhatsApp that expires in 10 minutes. On top of that, the links have daily caps on bookings and on new patients that you set yourself.
No, the WhatsApp code goes out from OCLÜ's number. If you choose to approve every booking, the code is only sent by email.
Yes, by turning on approval. The booking sits as a request in the calendar and the slot stays taken; when you approve it, the patient gets an email, and if you reject it, you choose whether to let them know.
The appointment is booked on their record: OCLÜ recognises them by ID number. If that ID is not on file at the clinic, a new record is created and flagged so the team can check the identity.
